Personal Assistant (PA) to the Pro-Vice Chancellor
Academic, Research and Innovation (PVC – ARI)
The Women’s University in Africa (WUA), dedicated to Addressing Gender Disparity and Fostering Equity in University Education, is seeking to fill the position of Personal Assistant to the Pro Vice Chancellor Academic, Research and Innovation.
This role is based at the WUA Head Office and reports directly to the PVC Academic, Research and Innovation. The main purpose of the job is to assist the PVC in running daily activities.
Key Result Areas & Tasks
The PA will be responsible for providing comprehensive support, with the main duties grouped as follows:
.Communication and Office Administration
The PA maintains internal and external communications, including drafting relevant memos, letters and emails, and speeches for approval by the PVC before issue. This role also involves liaising with faculties and other internal and external stakeholders to ensure that matters are kept in check. The PA also maintains an orderly filing system with easy retrieval process.
.Scheduling and Meeting Management
Scheduling the PVC’s meetings, organising meeting venues and liaising with the PVC to prioritise different events and meetings.
Logistics and Financial Support
Organising the PVC’s travel arrangements; administratively, the PA drafts annual budgets for the PVC and raises requisitions for the PVC’s office requirements.
Office Environment
The PA maintains the ambiance of the PVC’s office and assists in hosting key partners and stakeholders that interact with the office.
Qualifications, Experience and Attributes
• 5 ‘O’ Levels including English Language;
• Diploma in Office Administration/Secretarial Studies;
• Degree in Office Administration/ Social Sciences/ or Management;
• At least five (5) year’s experience in Office Administration;
• Office administration skills;
• Public Relations and Communication Skills
• Good Report and speech writing skills;
Should have ICT skills demonstrated through expertise in creating professional documents using Microsoft Word, developing impactful presentations with PowerPoint, and managing communications and scheduling via Outlook.
