Applications are invited from suitably qualified candidates to fill in vacant position that has arisen at the Women’s University in Africa.
The successful candidate will report to the Dean of Students.
DUTIES AND RESPONSIBILITIES
- Receiving and assisting visitors and telephone callers, referring them to the Dean of Students or other offices as appropriate;
- Scheduling programmes and services such as sporting events or recreational activities;
- Dealing with challenging student interactions in a professional and diplomatic manner and maintaining a calm and courteous office environment at all times;
- Handling complaints and conflicts diplomatically to diffuse potentially volatile situations as required;
- Providing administrative support for the student conduct management process that includes contacting the student, scheduling a meeting or hearing, managing student correspondence, maintaining a report of student conduct violations and referrals, and managing the intake of student complaints, appeals and grievances;
- Managing the day-to-day activities of the office such as maintaining files, ordering office supplies and monitoring office expenditures to assure purchases are within budget;
- Initiating and processing forms such as purchase orders, requisitions, travelling forms, printing requests and travel expense reimbursements;
- Attending to travel arrangements for the Department as requested;
- Maintaining the Dean’s calendar, keeping current with various appointments and meetings, reserving conference rooms and making other necessary arrangements including organizing materials, sending out meeting notices and coordinating catering details;
- Preparing minutes, formal reports and other documents for internal and external groups and organisations in which the Deans are involved. Serve as the recorder and minute taker for the Campus Life Committee and the Diversity, Equity and Inclusion Committee;
- Working with Disability Services staff to handle activities related to intake of students such as receiving confidential documentation, scheduling student appointments and following up phone calls;
- Evaluating all incoming correspondence to determine which matters require the Dean’s immediate attention;
- Assisting with various special events, activities, assignments and projects as assigned including the commencement and new student orientation;
- Maintaining confidentiality in all matters related to the Dean including organisational plans, student conduct and related matters, salary and benefits and personal matters;
- Collaborating with the Security Department in contacting students regarding Lost and Found items; and
- Performing any other job related duties as assigned by the Dean of Students.
QUALIFICATIONS AND EXPERIENCE
Qualifications
- Bachelor’s degree in Social Sciences discipline;
- At least one (1) year administrative work experience;
- Conversant with student counseling; and
- Experience working in a university environment will be an added advantage.
